Integrating Document with CCH® ProSystem fx® Tax

You can send tax returns from CCH® ProSystem fx® Tax directly to Document.

Returns stored in Document can be sent to clients using Document's encrypted email feature. If your firm licenses the version of Portal that integrates with Document, you can also send returns to client portals.

Tax returns are sent to Document as PDFs. If you use Portal along with Document, you also can send organizers to Document when they are sent to Portal. As many as 1,000 organizers can be included in the same batch. See the section on Portal configuration below for more information.

  • Firm-level configuration. The following steps should be performed by an administrative user:
    1. ClosedEstablish links between the clients in Tax and the clients in the client database used by Document. This step is optional. If you do not perform this step for CCH ProSystem fx Tax, the first staff member to send a return to Document for the client must manually link the client.

      1. In Tax, export the list of clients.
      2. To link the Tax clients to clients in the common database, run the ClosedBatch Client Linking utility. You can also use this utility to create a client who does not already exist in the common database.
        1. Click Utilities under Firm on the Application Links window in Dashboard.

        2. Click Batch link clients.
        3. Complete the linking process in the window. Click in the upper-right corner of the window for more assistance, if needed.
    2. Configure the tax mapping options in Administration Manager. These options help ensure that returns are placed in the correct Document folder.
    3. If your firm does not use Active Directory, select the Closedfirm option to allow staff members to remember their passwords on their workstations. 
      1. Open Dashboard, click Application Links on the navigation panel, and then click Settings and defaults under Firm.
      2. Click Login Setup on the navigation panel.
      3. With CCH Axcess selected as the login mode, select the check box for Allow users to remember their password on the workstation.

      Note: This step is optional, but recommended. If staff members also select to remember their passwords on the CCH Axcess login window, they will only be prompted to enter their password the first time they send a file to Document in a session. Without this option, staff members will have to enter their passwords each time they send a file to Document.

    4. In Office Manager, verify that the option to print files to Document is selected. This option is on the Destinations and Watermarks tab of the Print Options window. You must have selected an option to print to a PDF in the Default copies and print destinations section.
  • User-level configuration. Individual users who have permission to print to Document also can select the following options:
    • Select the Remember password option on the login window for CCH Axcess. This option is only available if your firm has selected to make it available as described in the previous section. If you select this option, it reduces the number of times you must log in when sending files to Document.
    • Choose the option to print the entire return to Document by default. This option is on the Print Entire Return tab of the Tax Preparation Preferences window.
  • Additional configuration when also using Portal. The additional configuration required for Portal depends on the type of files you want to send to Portal.
    • When your firm configures the tax mapping options for Document, it should also select Portal folder template options. No other configuration is required to send tax returns to Portal.
    • For best results, you should set up client portals before attempting to publish returns to portals. Portals can be created singly or in batches. See Adding Portals and Adding Portals in Batches for instructions on creating portals.
